• WD Richards PTO Job Responsibilities

    President The President shall be the principal executive officer of the organization and, subject to the control of the Executive Committee and the direction of the membership, shall in general supervise and control all of the activities of the organization. The President shall be a member of the Executive Committee and, when present, shall preside at all meetings of the Executive Committee and all meetings of the membership. The President shall vote only in the case of a tie in a vote of the Executive Committee or the membership. The President shall select and appoint the chairpersons of all Standing and Special Committees and shall be an ex-officio member of all committees of the organization.  The President must have served the previous year as President-Elect. To be eligible to serve as President, a person must be the parent or guardian of a W. D. Richards student.

     

    Financial Committee The Financial Committee shall conduct an annual audit of the Treasurer's account.  This action shall be performed during the month of April.  The committee shall consist of the Treasurer and two (2) other Members as appointed by the President at the beginning of each school year. The Chairperson shall report the results of the audit in writing to the Executive Committee, which must approve all such reports.

     

    Budget Committee The Budget Committee shall review the budget and prepare a recommended budget for the fiscal year. The fiscal year shall be from August 1 to July 31.  The President shall be the Chairperson of the committee.  The President-Elect, 1st Vice-President, 2nd Vice-President, Secretary, Treasurer, and W. D. Richard's Principal shall serve as committee members. The budget for the fiscal year shall be presented to the General Membership at the May meeting and shall be approved no later than August 15 of the next school year.

     

    President-Elect The President-Elect shall be a member of the Executive Committee and, in the absence of the President, shall perform the duties of the President. The President-Elect shall perform such other duties as are assigned by the President or the Executive Committee. The President-Elect, after having served for one year, shall automatically become the President of the organization. To be eligible to serve as President-Elect, a person must be the parent or guardian of a W. D. Richards fifth grade or younger student.

    The President-Elect shall be an ex-officio member of the Nominating Committee, Budget Committee, and Financial Committee.

     

    The President-Elect shall be the ex-officio member of all financial related committees.  These committees may include, but are not limited to:

     

    -         Community Programs, General Fundraisers, Market Day, Skating Party

     

    Nominating Committee The Nominating Committee shall be composed of three (3) persons, at a minimum, who shall be selected by the Executive Committee at the beginning of each school year. In addition, the President-Elect shall be an ex-officio member of the committee. The Nominating Committee shall present a slate of officers for election.

     

    Box Tops/Labels and Community Programs

    General Mills Box Tops:

    -         Have each student's family clip and save the Box Tops logo from over 330 participating General Mills products.

    -         Look for Box Tops logos on these General Mills products.

    -         Have each student's family turn the box tops into school each grading period, at a minimum.

    -         Have the Grade Coordinators collect the box tops from their classrooms.

    -         Send them to General Mills.

    -         Each box top redeemed is worth ten cents and can be worth up to $10,000.

     

    Campbell's Labels:  Ensure that the labels are cut to specified dimensions and wrapped according to Campbell’s requirements.

     

    Grocery Programs:  Distribute information to the families of the students at the beginning of each school year.

     

    Target Stores:  Distribute information to the families of the students at the beginning of each school year.

     

    Fundraiser Committee Plan at least one fundraiser per year.  Examples include:  Walk-a-Thon, Carnival, ChuckECheese.

     

    Market Day The Market Day Coordinator will be responsible for the following:

    -         Distribute and collect the monthly order forms and mail the orders to Market Day.

    -         Add late orders online.

    -         Publicize the Market Day sale date, monthly specials, and promotions.

    -         Work with Market Day Account Representative to decide on samples and extras for monthly sale.

    -         Submit article for Richards' monthly newsletter.

    -         Gather together the "sale day" volunteer work group.

    -         Conduct the "sale day" pick up at school.

     

    Skating Party The skating party coordinator is responsible for the following:

    -         Schedule all parties with Columbus Skateland.

    -         Attend ALL parties to be sure that everything and everyone acts accordingly.

    -         Print fliers each month to let the parents know specific information about each party.

    -         In the past, a reward was given to the class with the most attendance.

    -         You must coordinate all questions and concerns to proper school personnel according to BCSC guidelines.

     

    1st-Vice-President The 1st Vice-President shall be a member of the Executive Committee.  The 1st Vice-President shall be responsible for all volunteer related activities and shall be the ex-officio member of all volunteer related committees.  These committees may include, but are not limited to:

    -           After Hours Committee

    -           Buzz Book Committee

    -           Grade Coordinators

    -           Family Fun/Spring Fling Committee (Student Appreciation)

    -           Staff Appreciation Committee

    -           Support Services Committee

     

    The 1st Vice-President is a liaison between volunteers, teachers, and staff members.  The workload varies throughout the year.  A minimum of 5 hours per week can be expected.  Other duties include:

    -         Advertising opportunities to volunteer at PTO meetings, or through volunteer and school newsletters.

    -         Recruiting and scheduling volunteers for PTO, athletic and school activities.

    -         May deal with confidential information.

    -         Prepare suggested budget for up coming year.

     

    Attend all PTO meetings to provide the Organization with monthly updates.

    The 1st Vice-President shall be responsible for maintaining an updated volunteer list.  Volunteer buttons will be provided.

     

    To be eligible to serve as 1st Vice-President, a person must be the parent or guardian of a W. D. Richards student.

     

    After Hours Committee Develop and implement after school programs that appeal to a wide variety of students.

     

    Buzz Book Committee The Buzz Book Committee is responsible for the following:

    -           Request student family information at the beginning of the school year with a due date.

    -           Send reminders to those who did not abide by the due date.

    -           Compile and print W. D. Richards address & phone directory by October of the school year.

    -            

    Newsletter Committee The Newsletter Committee is responsible for the following:

    -           Receive information for the monthly newsletter by the 15th of the prior month.

    -           Compile the newsletter.

    -           Have the school front office personnel review for content.

    -           Print and distribute the newsletter to the staff and students prior to the end of the month.

    -            

    Grade Representative Coordinator The Grade Representative Coordinator shall attend the Orientation Open House. The Grade Representative Coordinator shall be the liaison between the PTO, teachers, and Room Representatives.  The Grade Representative Coordinator shall have monthly contact with teachers and Room Representatives and present a report at each General Membership Meeting and at other times as requested by the Executive Committee.  The Grade Representative Coordinator will be responsible for obtaining the volunteers as deemed necessary by the teacher.

     

    Specific responsibilities for each grade:

    -         Kindergarten:  Attend Kindergarten Orientation; Collect labels and box tops and package according to Community Programs Coordinator specifications; Ensure that the “Giving Tree” is assembled, if necessary; Staff Market Day Set-Up and Pick-Up on a monthly basis.

    -         First Grade: Collect labels and box tops and package according to Community Programs Coordinator specifications; Ensure that the “Giving Tree” is assembled, if necessary; Staff Market Day Set-Up and Pick-Up on a monthly basis.

    -         Second Grade: Collect labels and box tops and package according to Community Programs Coordinator specifications; Ensure that the “Giving Tree” is assembled, if necessary; Verify that the class is prepared for standardized testing (test book preparation, snacks, etc); Staff Market Day Set-Up and Pick-Up on a monthly basis.

    -         Third Grade: Collect labels and box tops and package according to Community Programs Coordinator specifications; Ensure that the “Giving Tree” is assembled, if necessary; Verify that the class is prepared for standardized testing (test book preparation, snacks, etc); Staff Market Day Set-Up and Pick-Up on a monthly basis.

    -         Fourth Grade: Pioneer Days; Collect labels and box tops and package according to Community Programs Coordinator specifications; Ensure that the “Giving Tree” is assembled, if necessary; Verify that the class is prepared for standardized testing (test book preparation, snacks, etc); Staff Market Day Set-Up and Pick-Up on a monthly basis.

    -         Fifth Grade:  Rain Forest; Exchange City; Coordinate fundraisers for Exchange City; Sixth Grade Graduation; Collect labels and box tops and package according to Community Programs Coordinator specifications; Ensure that the “Giving Tree” is assembled, if necessary; Verify that the class is prepared for standardized testing (test book preparation, snacks, etc); Staff Market Day Set-Up and Pick-Up on a monthly basis.

    -         Sixth Grade:  Bradford Woods; Coordinate fundraisers for Bradford Woods; Collect labels and box tops and package according to Community Programs Coordinator specifications; Ensure that the “Giving Tree” is assembled, if necessary; Verify that the class is prepared for standardized testing (test book preparation, snacks, etc); Staff Market Day Set-Up and Pick-Up on a monthly basis.

     

    Family Fun Nights/Final Fling This committee shall plan regularly scheduled Family get-togethers at the school.

     

    This committee shall coordinate an event prior to the end of the school year.  Examples from the past include:  swim party, carnival.

     

    Staff Appreciation This committee is responsible for the following:

    -           Planned lunches and snacks

    -           Christmas gifts for the staff

    -           Back to school gifts for the staff

     

    Support Services This committee is responsible for the following:

    -           Giving Trees for the staff

     

    2nd Vice-President The 2nd Vice-President(s) shall be a member of the Executive Committee and shall serve as W. D. Richards’ staff representative.  The 2nd Vice-President(s) shall serve as the liaison between the PTO and W. D. Richards’ staff. The principal shall appoint a staff member (or members) to be the 2nd Vice-President(s).

     

    Secretary The Secretary shall be a member of the Executive Committee. The Secretary shall be responsible for publicity for all events of the organization and shall act as a liaison between the school and the media. The Secretary shall keep the official history of the organization and shall keep an annual record of all of the activities of the organization. The Secretary shall keep the minutes of the proceedings of the membership and the Executive Committee, shall see that all notices are duly given in accordance with the Bylaws, and, in general, perform all duties incident to the office of Secretary and such other duties as may be assigned by the President or the Executive Committee. To be eligible to serve as Secretary, a person must be the parent or guardian of a W. D. Richards student.

    -          Contact The Republic in a timely manner for the following events to be posted in the Classroom section of the paper:

    -          PTO Meetings, Public Events (Carnival)

     

    Treasurer The Treasurer shall be a member of the Executive Committee. The Treasurer shall have charge of and be responsible for all funds of the organization and shall receive and give receipts for monies due and payable to the organization from all sources and shall deposit such funds in such banks or other organizations as are selected by the Executive Committee. The Treasurer shall make disbursements as authorized by the President, Executive Committee, or membership in accordance with the budget adopted by the membership. The Treasurer shall present a written financial report at each General Membership Meeting and at other times as requested by the Executive Committee. To be eligible to serve as Treasurer, a person must be the parent or guardian of a W. D. Richards student.
